  • HOW YOU WORK

    CALENDARS

    • Organize and set up all internal meetings for SVP Marketing & SVP Merchandising   
    • Keeping SVPs on time for meetings throughout the day & prepare materials needed for upcoming meetings (print outs, samples etc.)
    • Member of the Corporate Calendar Committee

     

    TRAVEL

    • Organize all domestic and International travel for SVPs  
    • Request early check in for hotels as needed per trip work with Ultramar travel agent for flights within travel budgets
    • Submit and process all travel visa applications with the Ultramar consultant, passports and Visa department and process all necessary letters and documents in a timely manner
    • Add all travel, flights and hotels in outlook with appropriate confirmation codes.

     

    BUDGET

    • Process and submit expense reports
    • Manage and maintain the design services department yearly budget – create template to track each design service expense by employee.
    • Act as a liaison between Design Services and Accounting department / Marketing and Accounting department
    • Track all invoices, code and send to Finance in a timely manner
    • Organize invoice binders (Design Services + Marketing) , design service card binder, and budget binder
    • Hold Monthly reviews to finance and review each line charge – work with finance team for any mis-codes and for re classing
    • Manage design services department credit card expenses, code and submit to finance as each statement is sent
    • In charge of ordering all supplies for Marketing + Design Services department (WB Mason & Staples Accounts)

     

    DESIGN SERVICES BILL BACK PROCESS

    • Create a track yearly tracking for all licensee bill back work directly with cross functional partners
    • Send a completed excel sheet with receipt images quarterly to finance
    • Insure that bill backs are not acceding licensee threshold amounts

     

    CATERING/DAILY LUNCH

    • Order lunch for departments as needed
    • Keep a folder of menus and options monthly

    HOW THE JOB WORKS

    You will support the Manager of Design Services & Marketing Administration in the day to day management of both departments.

    HOW YOUR PAST WORKS FOR US (required)

    • Bachelor’s degree or related degree
    • Strong Computer experience to include: Microsoft word, excel, outlook
    • Ability to work under tight deadlines
    • Strong understanding of calendar management tools & templates
    • Ability to work as part of a group and possess excellent written + oral communications skills
    • Working knowledge of Concur, Adobe ICloud applications + deck presentation skills a plus
    • Highly organized and detailed oriented
